Health Action Council is in search of a Salesforce and Pardot Administrator to join our growing team. This role will support the marketing, sales, member engagement, and operations teams.  The mission of the Salesforce and Pardot Administrator is to bring a hands-on approach to solving marketing, sales, and member engagement data, process, and reporting issues – enabling the organization to grow.

The ideal candidate is a passionate and results-driven operations technologist with first hand experience in Pardot and Salesforce. Experience should range from operational projects such as system implementation, integration, migration, data management, infrastructure build-out all the way to automating scalable marketing campaigns and programs.

We are looking for a self-starter who is able to hit the ground running while working independently and effectively in a fast-paced environment. This person should be entirely accountable and take full ownership and pride in their work. They are great at problem-solving with strong project management skills and the ability to think analytically and troubleshoot effectively. The candidate can adapt to a changing environment to anticipate our organizations future needs.

General Responsibilities:

  • Analyze and manage existing databases; you will be the technical systems admin and manager of Pardot and Salesforce for the entire organization and responsible for all data flow between Salesforce and Pardot.
  • Own all aspects of reporting to ensure, and drive consistency in sales forecasting, member engagement outcomes and operations; utilize Conga to develop and maintain engagement reports that can be consistently delivered to clients.
  • Establish and deliver marketing, member engagement, and sales reports, including dashboards and analyses of campaign performance, conversions, attribution, and effectiveness.
  • Establish, maintain, and document scalable processes that ensure best practices in campaign and lead management; configure Salesforce to optimize the sales and member engagement processes.
  • End-to-end configuration, creation, testing, and execution of high-quality, multi-touch/channel marketing campaigns including workflows, segmentation, email, landing pages, live and virtual events, and list imports with a focus on supporting pipeline generation in Pardot.
  • Actively monitor, review, and optimize processes and systems for quality and performance with a continuous improvement mindset, providing audits of Pardot and Salesforce campaign workflows to ensure accuracy.
  • Create seamless marketing and sales hand-off process: Map fields from Pardot to Salesforce, make sure territory rules are up to date, ensure opportunities are routing to the sales team successfully.
  • Provides training to the organization’s staff on Salesforce and Pardot; maintains and develops procedures and process for Salesforce and Pardot.  
  • Coordinate ongoing internal training on system functionality and process-related requirements to ensure all users are compliant and use the processes effectively.
  • Support new initiatives such as building a lead scoring model and updating custom-built member engagement scoring.
  • Build and manage automation programs for future campaigns, develop program benchmarks and monitor campaign results to ensure maximum return on efforts.
  • Develops email templates and solicits approval from stakeholders on final layout.
  • Creates dynamic lists, forms and form handlers in Pardot
  • Manages list imports and exports into Salesforce and Pardot using the organizations data and privacy guidelines.
  • Coordinates performance metrics including understanding of mitigating bounce backs, spam blocks, and poor data.
  • Performs Salesforce administrator tasks including managing user accounts, campaigns applications, objects (i.e., creating new fields and values, custom functionality, user field-by-field visibility, editing page layouts); reassign accounts, contacts, and opportunities in response to personnel changes; grant/remove and maintain user licenses.
  • Creates workflow and automation rules.
  • Develop and extend marketing analytics capabilities in Salesforce including implementing new and custom tools, setting up dashboards and reports.
  • Creates workflow and automation rules, list segmentation and dynamic list development.
  • Identifies process improvement and technology upgrades. Continuously improves processes and make recommendations to the leadership team based on the metrics and interpretation of results.
  • Ensures that best practices of data management are implemented, and all data is updated on a regular basis.
  • Ensure data quality by using best practices to migrate data from outside systems.
  • Stay up to date on all new Salesforce releases, enhancements, and integrations.
  • Implement and maintain Salesforce API to our website to allow members to make real time updates to accounts and contacts.

Preferred Qualifications:

  • Salesforce Marketing Cloud Email Specialist & Salesforce Admin Certifications
  • 4+ years of experience with Salesforce, database and SFTP connectors and customization (APEX, Visual Force) desired
  • Process and quality orientation with exceptional attention to detail
  • Ability to manage multiple projects/priorities simultaneously
  • Experience in pipeline analysis and sales forecasting
  • Complete and detailed understanding of business intelligence and processes
  • Ability to display strong self-initiative and support recommendations with sound thinking and fact-based evidence (data, research, best practices, etc.)
  • Creative problem solver
  • High degree of personal accountability, diligence, and proactivity
  • Experience with email marketing best practices and creating automated email campaigns.
  • •Ability to use data files to visualize data in applications including Salesforce dashboards. Provide analysis based on data and visualization.  
  • Proficiency in Excel, including the ability to build and read pivot tables, complete v-lookups, and basic formulas.
  • BS Degree in Computer Science, digital marketing, or other related degree preferred
  • Prefer Cleveland-based employee; will consider remote.
