Position Description: We are currently searching for a savvy, energetic, hard-working and dependable Project Coordinator to work in our Cleveland office.  Successful candidates must have excellent communication and customer service skills and be outcome-oriented and conscientious.  The ability to work in a transforming environment with strong attention to detail and organization is essential.  The ideal individual will take pride in making a difference and being an integral part of a small team.

Position Location:  Company headquarters in Cleveland, Ohio
General Responsibilities:
  • Plan and design internal marketing and communication materials
  • Support the maintenance of the website
  • Ensure brand guidelines are being followed
  • Creating email templates
  • Develop videos
  • Project management
  • Coordination of marketing and social media efforts
  • Gain understanding and the ability to work within the identified communication platforms (website, Pardot, Salesforce, etc.)
  • Develop and pull reports from the CRM system
  • Planning, organizing, promoting, facilitating and coordinating event/programs. Including but not limited to:
    • Scheduling events and coordinating meetings
    • Contracting with speakers
    • Coordinating travel (when appropriate)
    • Creating supportive PowerPoint deck
    • Coordinating and collecting speaker presentations and handouts
    • Assisting with selecting and contracting for venues
    • Assisting with the development of the marketing and communication materials (examples: Agendas, event invitations, event section of the member conference program booklet, surveys and evaluation forms)
  • Assist with administrative aspects of seminars including but not limited to registration, confirmation, certificates, name badges, evaluation forms and post-event analysis, preparation and shipping materials to seminar site, and onsite registration
  • Coordinate projects across internal and external stakeholders
  • Assist with creating connectivity across our members and other stakeholders
  • Perform general clerical duties including but not limited to scanning, photocopying, faxing, mail distribution and filing
  • Prepare meeting materials, outlines, presentations, reports, spreadsheets and other business information
  • Coordinate meetings, conference calls and events as needed including but not limited to scheduling, travel arrangements, lodging, catering and setup/cleanup
  • Provide logistical support for education sessions and conference attendees, supporters, sponsors, speakers, trainers, etc.
  • Assist with special projects and assume responsibility for their development, administration and promotion as required
  • Ability to manage multiple projects with superb accuracy
  • Understand how to prioritize and manage time
  • Strong communication and administrative skills
  • Strong organizational skills
  • Exceptional customer service skills, over the phone and in person
  • Strong sense of urgency and problem-solving skills
  • Critical thinking 
  • Bachelor’s degree or equivalent
  • 1+ years of project manager experience with increasing responsibility required
  • Event planning experience a plus
  • Must be computer savvy and proficient in Create Cloud (InDesign, Illustrator, PhotoShop), Premiere Pro, After Effects, Microsoft Office suite, internet,
  • Must have a professional demeanor and excellent written and verbal communication skills
  • Must be tactful, courteous, and diplomatic
  • Must be able to take charge of position and step up and say confidently in a friendly manner "This is how things need to be done."
